The review request flow is the single biggest input to your average review collection rate. Brands at 5 percent collection rate are leaving 30 to 50 percent of possible reviews on the table. This SOP standardizes the request flow for maximum collection without burning customer relationships.

Why this SOP matters

Reviews drive conversion. Brands with 100+ reviews per product convert at 15 to 20 percent higher rates. Reviews also feed Google product results. Doubling your collection rate doubles your review-driven conversion.

Step-by-step SOP

  1. 1

Set the request trigger to 7-14 days post delivery

Not post-purchase. Post-delivery means the customer has had the product. Below 7 days they haven't formed an opinion. Above 21 and you've lost momentum.

  2. 2

    Configure product-specific request timing

Consumables: 14-21 days (they've used it). Apparel: 7 days (they've worn it). Electronics: 10 days (they've set it up).

  3. 3

    Build the email template

Photo of their product, short ask, one-click rating widget. No multi-step landing page.

  4. 4

    Set up review incentives

10 to 20 percent off next order for verified review. Yotpo handles the code. Don't incentivize 5-star reviews specifically (FTC violation). Incentivize any review.

  5. 5

    Configure photo-review bonus

Higher incentive (15 to 25 percent off) for reviews with photos. Photo reviews convert 3x better than text-only.

  6. 6

    Set up reminder cadence

Send one reminder 5 days after the initial request if no response. Two reminders maximum. Three feels desperate.

  7. 7

    Exclude returns and refunds

Customers who returned the product shouldn't get review requests. Set the filter explicitly in Yotpo.

  8. 8

    Monitor collection rate monthly

Target: 15 to 25 percent of delivered orders convert to reviews. Below 10 percent means flow needs work.

Common mistakes to avoid

  • ×Triggering off order placed instead of delivery (customer hasn't received product)
  • ×Not excluding returns, asking refunded customers to review products they hate
  • ×Hardcoding the incentive code, leading to abuse and leaked codes
  • ×Sending review requests at 5am their time (use Yotpo's send-time optimization)
  • ×Forgetting to update the email template when product packaging changes

FAQ

When should the review request go out?

7 to 14 days post-delivery for most products. Consumables can extend to 21 days. Apparel can be as short as 5 days.

Should I incentivize reviews?

Yes. Discount on next order works best. Disclose the incentive on the request (FTC compliance). Yotpo handles compliance text automatically.

What's a good review collection rate?

15 to 25 percent is excellent. 10 to 15 percent is average. Below 10 percent means your flow or incentive needs work.

I built ReccordSOP after watching too many DTC ops teams lose months to undocumented workflows. These SOPs are battle-tested with Shopify operators running $1M to $50M brands.
