What we collect
When you use ReccordSOP, we collect:
- Account information, email address, name, and profile photo when you sign up via Google or magic link.
- Screen recordings, video/audio files you upload for SOP generation. These are processed by our AI pipeline and deleted immediately after transcription. We do not store your video files.
- SOP content, the text content of SOPs you create, which is stored in your workspace database.
- Usage data, page views, feature usage, and error logs to improve the product.
How we use your data
- To provide the SOP generation service (transcription, AI processing)
- To manage your account and workspace
- To improve ReccordSOP based on usage patterns
- To send transactional emails (login links, billing receipts)
We never sell your data, use your content to train AI models, or share your information with advertisers.
Third-party services
We use the following services to operate ReccordSOP:
- Railway, application hosting and PostgreSQL database
- Cloudflare R2, temporary file storage for recordings (files deleted after transcription)
- OpenAI, audio transcription via Whisper API (your recordings are sent for processing and not retained by OpenAI)
- Anthropic, SOP generation and drift detection via Claude API (your transcripts are sent for processing and not retained by Anthropic)
- Lemon Squeezy, payment processing (we never see or store your card details)
- Resend, transactional email delivery (login links, billing receipts)
- Google Analytics, aggregate visitor statistics on our public marketing pages only (which pages get visited, roughly where visitors come from). It does not run inside the app, so your SOPs, workspace, and account activity are never sent to Google.
Chrome extension
The ReccordSOP Chrome extension:
- Records your screen only when you explicitly click "Start Recording"
- Sends the recording directly to your ReccordSOP instance
- Stores only your API URL preference locally in Chrome
- Does not collect browsing history, cookies, or any background data
- Requires
storage permission (to save settings) and tabs permission (to open the SOP after generation)
Data retention
- Recordings: Deleted immediately after transcription is complete. Not stored.
- Transcripts: Stored only for drift detection comparisons. Deletable by the workspace admin.
- SOPs: Stored as long as your account is active. Deleted within 30 days of account closure.
- Account data: Deleted within 30 days of account closure upon request.
Your rights
You can at any time:
- Export all your SOP data
- Delete your account and all associated data
- Request a copy of all data we hold about you

We may update this policy as the product evolves. Significant changes will be communicated via email to all account holders.
